Travel App Instructions for Participants
Domestic and International trips
Participants who are not current UNW students or employees must be registered by the trip leader/coordinator.
For most trips, participants will be added by the trip leader/coordinator.
For a Study Abroad trip, participants may be added by the Career and Leadership Development staff.

My Trips
When accessing the Travel App, you will find the main page. Once you leave the main page, the easiest way to navigate back is through the sidebar.
Select “My Trips” to see the trips that you that you have approval to participate.
To view individual information for a trip, under the “Actions” tab, click on the “View My Info” yellow button.
Viewing Your Info (for a specific trip)
From the main page, select “My Trips” to see the trips that you have approval to participate.
Select the specific trip, then under the “Actions” tab, click on the “View My Info” yellow button.
For a specific trip, there are five tabs listing personal and trip information:
General info
Personal information (some info is pulled from Banner and can be edited). You must list:
Two adult (18+) emergency contacts
One contact must include an email address
Trip information
Typically completed by the trip coordinator for a group
If traveling as an individual, enter your flight and lodging information
Payment schedule for the trip (if applicable)
Typically completed by the trip coordinator
If traveling through a Study Abroad Program, Career Development may enter the payment schedule on your behalf
Scholarships towards the trip (if applicable)
Trip Requirements – you cannot attend the trip if the following required information is incomplete:
Emergency Contacts - you must list two emergency contacts, including one email address
Passport (if applicable)
Passport must be valid prior to the start of the trip and for six months following your planned return
Take a photo of your passport, save it and upload to the Travel App
Health Insurance
Insurance must be valid for the entirety of the trip
Take a photo of your health insurance, save it and upload to the Travel App
Health Information
You must complete each question
If the question does not apply to you, enter “n/a” for not applicable
Financial Contract (if applicable)
Accept or agree
Status - current status within the application/trip preparation process
Requirements Incomplete: participant has not submitted all the required information
Ready for Travel: participant has submitted all the required information
Travel Details - destinations on your trip
Typically added by the trip coordinator, including lodging, flight information, etc.
Edits can be made if there are changes to the original destinations, but please consult with a trip leader/coordinator before making any changes
Comments (if any)
Viewing Your Info (for any trip)
You are able to save some of your Trip Requirement information for future trips.
NOTE: Updating this information will only autofill it for future trips you apply for, not current trips you applied for or are a participant.
To view or update the information, click the “My Info” yellow button at the bottom of the sidebar.
Personal Information
Passport- a warning message will appear if document expires before the trip ends
Take a photo and upload a valid passport to replace the invalid one
Health Insurance
You may be required to replace the insurance card with a photo of a valid insurance card and update the expiration date

Review and update any changes
Updating Your Information and Uploading Documents for a specific trip
Select “My Trips” to see the trips that you have approval to participate.
From the list, select a specific trip
To update your personal information and upload documents, under the “Actions” tab, click on the “View My Info” yellow button.
To update personal information, you will need to enter the information in Banner. Under the “General Info” tab, click on:
On the “Trip Requirements” tab, you will see the information required for the trip.
Under each section, complete the required information and upload documents by clicking the “Upload New” purple button.
Your passport and health insurance information can be downloaded and printed for
travel purposes by clicking on “Download Copy”.
If there are requirements you haven’t completed, you will receive an email reminder from webmaster@unwsp.edu.
On the “Status” tab, “Ready for Travel” will be listed once all the requirements are complete.
International Travel/Medical Protection through iNext Insurance - required for all International trips
Participants will be enrolled in iNext insurance by the trip coordinator for all international trips.
Participants will receive an email from iNext Insurance. Inform the trip coordinator once you receive this travel insurance confirmation. You will need to “Finalize” your travel insurance (you are the only one able to take care of this final step).
Complete the required information.
Determine if you want to purchase additional options for insurance (e.g. trip cancellation or interruption).
Participants should carry their individual iNext card that includes an individual iNext ID# and iNext# emergency phone number. Also take a picture on your phone as a backup.
US State Department Registration with STEP - required for all International trips
Each participant MUST create an account and register themselves for the upcoming trip with the US State Department at STEP (Smart Traveler Enrollment Program)
